Prayer Team

Coordinator: Someone who has a heart for prayer and for organizing others to pray.

  • Plans all prayer-related activities involved in VBS
  • Helps execute prayer activities (ex. Day of prayer before VBS, prayer walk through the VBS rooms, etc)
  • Prays over all aspects of VBS, before, during, and after VBS

Team Member: Individuals, couples, families who have a heart for prayer.

Decorations Team

Coordinator: Someone who has creative ideas and enjoys decorating.

  • Plans the decorations for all areas of the facility to make the space appealing (see Decorating Decisions on page 47 for further information)
  • Organizes decorating supplies and oversees a team to set up before VBS
  • Organizes and oversees a team to take down the decorations after VBS is over
  • Prays over all aspects of this job before, during, and after VBS

Team Member: The decorations team reports directly to the decorations coordinator. If you enjoy decorating this is for you.

Supplies & Donations Team

The supplies team oversees the organization of all the supplies needed by each department of VBS. This team works closely with all areas of VBS before and during our program.

Coordinator: Someone who is very organized and able to coordinate inventory.

  • Oversees and manage the master supply lists from all the aspects of VBS
  • Keeps inventory of supplies acquired.
  • Coordinates with other room coordinators to know what needs to be purchased.
  • Encourages people to donate items for VBS supplies.
  • Prays over all aspects of this job before, during, and after VBS

Team: Assists the coordinator to organize and distribute supplies for each of the VBS days/rooms.

Set Up Team

Team Member: Most of our set up happens on Sunday, after church, before VBS. We also have a day of a little set up that happens on that Saturday before VBS. Tasks will include moving chairs, sets, tables, hanging decorations and more.

Tear Down Team

Team Member: Tear down happens after the celebration picnic on Friday. Tasks will include moving chairs, sets, tables, sweeping floors, removing decorations, and more.

Group Guides

Each group will have one guide who will be present Monday through Friday. The second group guide may sign up for specific days he is available. Couples or friends are encourages to serve as group guides together! There will be two groups for each age group. This means we will have 6 groups altogether.

Group divisions (based on grades enter in the fall):

You will be able to choose the group division you prefer when you sign up.

Best fit for this job:

The Group Guide and Assistant Group Guide is someone who enjoys building relationships with groups of children.

  • Checks the children in and out each day
  • Leads them from rotation to rotation throughout the VBS day, actively participating and helping as needed
  • Makes sure all children in the group are accounted and cared for and are enjoying VBS
  • Sends home important fliers, crafts, and other items from each day’s VBS
  • Writes a follow-up postcard to each child after VBS

Bible

Coordinator/Teacher: Someone who enjoys teaching children. This individual must also be able to read the room and adjust the lesson activities appropriately for the children present. This volunteer should be available each day of VBS, Monday-Friday.

  • Plans and prepares daily lessons for VBS (see Teacher Guide for further information)
  • Enthusiastically engages in delivery of the lessons during week of VBS
  • Prays over all aspects of this job before, during, and after VBS

Bible Room Assistant: Helps the teacher lead the daily lessons. Ideally, this person should be available Monday-Friday. However, please sign up for the days that you are available.

  • Reports to the Bible Teacher/Coordinator.
  • Prays over all aspects of this job before, during, and after VBS.

Missions/Service

Missions Coordinator: This individual prepares the lessons/activities prior to VBS and lists the supplies needed. Best fit for this job: Someone who has a heart for missions and wants to see children get excited about missions.

  • Arranges all details related to presenting the mission project during VBS week (see Assembly Guide for further information)
  • May act as the presenter of the mission information the week of VBS
  • Takes care of delivering mission collection to the appropriate parties after VBS is over
  • Prays over all aspects of this job before, during, and after VBS.

Missions Leader: This individual is present Monday-Friday for VBS and presents the activities during the week. This individual may be the same person as the Missions Coordinator.

Missions Assistant: This role could be Monday through Friday or signing up for individual days the volunteer is available.

  • Reports to the Missions Leader/Coordinator.
  • Prays over all aspects of this job before, during, and after VBS.

Snacks

Snacks Coordinator: This individual decides which snacks to serve and lists the supplies needed prior to VBS. Best fit for this job: Someone who is organized and enjoys working with food.

  • Plans snacks for all age levels (see Summit Snacks Guide for further information)
  • May oversee others helping with snacks
  • Organizes snack donation sign-up for the church family
  • Buys all extra supplies that have not been donated (to be reimbursed)
  • Prays over all aspects of this job before, during, and after VBS

Snacks Leader: This individual is present Monday-Friday for VBS and leads the snacks during the week. This individual may be the same person as the Snacks Coordinator.

  • Prepares daily snacks for VBS and/or oversees others who are helping with snacks
  • Monitors which children have allergies and plans accordingly, notifying the appropriate leader and helper 
  • Coordinates the serving of snacks each day
  • Oversees cleaning up the snack area(s) daily
  • Makes sure key lesson themes are reinforced through the snacks

Snacks Assistant: This role could be Monday through Friday or signing up for individual days the volunteer is available.

Crafts

Crafts Coordinator: This individual decides which crafts the kids will create and lists the supplies needed prior to VBS. Best fit for this job: Someone who is organized and enjoys planning, preparing, and executing craft ideas.

  • Plans crafts for all age levels (see Crafts Guide for further information)
  • May oversee others who help with crafts
  • Organizes craft donation sign-up for church family
  • Buys all extra supplies that have not been donated (to be reimbursed)
  • Enlists help and prepares necessary craft supplies ahead of time so everything is organized into daily packets for the children
  • Prays over all aspects of this job before, during, and after VBS

Crafts Leader: This individual is present Monday-Friday for VBS and leads the crafts during the week. This individual may be the same person as the Crafts Coordinator.

  • Enlists help and prepares necessary craft supplies ahead of time so everything is organized into daily packets for the children

Games Coordinator: This individual decides which games the kids will play and lists the supplies needed prior to VBS. Best fit for this job: Someone who enjoys planning and running recreational games for children. 

  • Plans games for all age levels (see Games Guide for further information)
  • Gathers game supplies ahead of time, or makes a list of supplies needed as donations
  • Prays over all aspects of this job before, during, and after VBS

Games Leader: This individual is present Monday-Friday for VBS and leads the crafts during the week. This individual may be the same person as the Games Coordinator.

  • Sets up games daily during VBS
  • Runs game time and/or oversees others who are running game time
  • Oversees cleaning up the game area(s) each day
  • Makes sure key lesson themes are reinforced through the games
  • Prays over all aspects of this job before, during, and after VBS

Games Assistant: This role could be Monday through Friday or signing up for individual days the volunteer is available.

  • Reports to the Games Leader/Coordinator.

Music/Praise Team

Praise Team: The praise team is an integral part to the open and closing session for each day of VBS. This person should be confident on stage and able to follow the music and actions for the VBS songs.

  • Learns the music and choreography for VBS songs.
  • Presents self with a smile on stage during the opening and closing sessions.
  • Prays over all aspects of this job before, during, and after VBS

Nursery

Nursery Leader: The Nursery is available for young children of VBS volunteers ONLY. The leader should be available Monday through Friday of VBS. Without the nursery, many of our volunteers would not be able to serve. Best fit for this job: Someone who is organized and enjoys playing with toddlers and preschoolers. Activity ideas are available to coordinate with the VBS theme.

  • Chooses activities for each day (free play, coloring sheets, etc), schedules, and all other details of the nursery portion of VBS (see Director Guide for further information)
  • Determines the number of nursery aged children who will need care (numbers will be provided)
  • Manages volunteers who have agreed to work in this area
  • Oversees the nursery area during the week of VBS
  • Plays with the toddlers and preschoolers
  • Prays over all aspects of this job before, during, and after VBS

vbsMini

vbsMINI Coordinator: vbsMINI is the special area for kindergarten and prekindergarten children. This area runs independently from the main VBS area. Best fit for this job: Someone who possesses vision, organization and people skills, and a heart for children.

  • Oversees the entire vbsMINI program (read through the Director Guide and other manuals for further information)
  • Works with the church staff on VBS-related issues such as goals, dates, and budget
  • Coordinates the activities for the vbsMINI program. This includes: games and Bible. You may need to coordinate with the leaders of the crafts and snacks areas of our main VBS for what they have planned.

AV Leader: This individual is present Monday-Friday for VBS and leads the crafts during the week. This individual may be the same person as the AV Coordinator. Best fit for this job: Someone with a knowledge of sound, lighting, and visual displays.

  • Sets up microphones, video presentations, and stage effects
  • Is present in the auditorium during the opening and closing sessions.
  • Assists with any AV set up for special areas of VBS (for example Missions videos)

AV Assistant: This role could be Monday through Friday or signing up for individual days the volunteer is available.

Photographer

The photographer is responsible for snapping pictures of our VBS week to share in-house (pics can include faces) and on social media (pics should not include children’s faces). Best fit for this job: Someone who is knowledgeable about photography, enjoys shooting pictures, and enjoys children.

  • Takes pictures of preparations that are occurring before VBS
  • Takes numerous pictures during VBS week
  • Takes individual pictures or class pictures of children
  • Takes a group shot of entire VBS
  • Develops and organizes photos after VBS for all to enjoy

Security

The security team specifically focuses on who is coming in an out of the building during VBS to ensure the safety of the children and volunteers within our program.

Security Coordinator: Best fit for this job: someone who pays attention to detail and cares about keeping our perimeter safe.

  • Creates a security plan, working closely with the VBS Director and Registration Coordinator
  • Trains and recruits individuals to serve on the security team.

Celebration Picnic (Friday)

The Celebration Picnic occurs directly after VBS on Friday. It is a time for parents and family to see the decorations, hear the songs, and learn about the mission and Bible story their child(ren) had been experiencing all week.

  • Plans food prep for the picnic
  • Oversee others helping with picnic
